Web Design Project Description: US Design Firms Only Request for Proposals Website Design and Graphic Design Support Issued Aug. 30, 2010 Responses Due Sept 6, 2010, 5 p.m. Summary The leading membership organization of sustainable cities and counties is accepting proposals for a firm to provide web design services as well as print and identity design for a range of projects. About We are the leading membership association of local governments committed to climate protection, clean energy, and sustainability. Since its inception, We have grown to include nearly 1,200 cities in the world, more than 600 of which are in the United States. Our mission is to build, serve, and drive a movement of local governments to advance deep reductions in greenhouse gas emissions and achieve tangible improvements in local sustainability. We provide tools, resources, training, technical assistance, and vibrant peer networks for local governments. Our membership is growing rapidly, and we are setting national standards on energy and greenhouse gas management, and measuring sustainability performance. Overview of Our Needs Long-term _______ seeks to hire a firm for a range of ongoing graphic design tasks and projects. Short-term An upcoming, quick-turn project (see below) will serve as a pilot to determine if the firm is a good fit for us and produces high-quality design. Scope of Work and Guidelines Under the current RFP, we seek basic web design for a small website focused on a California energy project. The site will be based on the Plone content management system and be no more than two dozen pages. We need a âskinâ for the homepage with a similar design template for all other pages, including fonts and colors. We will create and design our own individual pages in our CMS, and add images as necessary. We already work with web developers for our site, so we do not require hosting, SEO, or development services. Turnaround is very tight Need a design template by Wednesday, Sept. 15 Longer-Term Needs (to be addressed though one or more separate contracts, depending on outcome of initial project) Our brand and our website in particular are in need of newer and fresher graphic design standards that reflect the cutting-edge nature of our work and our vital and growing network of sustainable cities and counties. We are looking for an ongoing relationship with a graphic design firm, ideally to meet our web design needs as well as identity and design standards, print design, and possibly multimedia production. Our most immediate need is for superlative web design. The tentative projects and tasks are listed below, and would be undertaken with individual contracts for each. Our goal is to create excellence and consistency in design across platforms and materials Graphic redesign of our full website. Beginning in winter 2010, we will begin implementation of a website overhaul that is already in progress from a web development standpoint. We âll need a redesigned homepage (based on a wireframe that will be provided by our web developers) and a handful of CSS templates for various pages and site sections (e.g., events listings, discussion forums, blog, etc.) Timeline winter-spring 2010-11 Graphic redesign of our html e-newsletters. We are expanding our e-newsletter offerings to a fast-growing audience and need a fresh design for four separate, templated e-newsletters, displaying the same look and feel as our new website. Timeline winter 2010-11 Updating of our identity and style guide. Our organizationâs color palette and fonts need updating and consolidation. We have a clear vision for what we want (recent brochures and other marketing materials reflect the colors and design style we like) but need a design firm to put on the finishing touches. This update would be reflected in the website redesign, of course. Timeline winter 2010 Document templates. We require fresh new design templates for our case studies, guidebooks, and similar documents. Timeline winter-spring 2010-11 Miscellaneous printed materials, such as our annual report. We produce print materials several times a year, such as event-promotion post cards and our annual report. We need designers who understand magazine/publication design as well as design for marketing and collateral materials. Timeline winter 2010 Multimedia support. When we relaunch our website we wish to create a rich multimedia experience for our users, with on-demand videos, Flash slideshows, and simple animations. We recognize that we may need to pursue a firm specializing in multimedia, but a bonus for us would be to work with a graphic design firm that can also consult with us and assist us with our siteâs limited multimedia components. Timeline fall-winter 2010-11 All designed materials will become the sole property of the company. Qualities We Seek in a Design Firm Demonstrated ability to produce dazzling, award-winning graphic design Creativity in design and ability to grasp editorial and marketing themes that drive design. Clear communications skills and the ability to effectively implement client feedback through multiple rounds of proofs. Responsiveness to client requests and an organized project management system. Adequate staffing to take on small projects on short notice with quick turnarounds. An understanding of marketing strategy to drive design, and the initiative to suggest ideas or counterideas to our own. Design firms will also be evaluated on four key criteria 1. Price 2. Ability to deliver 3. Sustainability considerations 4. MBE/WBE status 1. Price As a non-profit organization, price is a primary consideration. Any nonprofit/group discount should be applied. 2. Delivery Proposals will be designed to meet the timeline specifications. If rush or overtime charges are involved in accelerating delivery, this should be called out separately as an add-alternate option in the proposal. 3. Sustainability Given the nature of our mission, vendors that engage in sustainable practices, including support for open standards, fair labor practices, minimization and/or offset of travel and other contributors to the vendorâs carbon footprint are preferred. 4. MBE/WBE Status As a recipient of federal funding, responses from or proposals including utilization of minority- and/or women-owned business enterprises are encouraged. Proposals should address this criterion directly. Submission & Process Please submit proposals no later than 5 00 p.m. pacific on Sept. 6. Proposals should include A brief organization background, including years in business, specializations, market focus, and awards, honors, and relevant certifications or training. Samples of your most engaging graphic design work. Brief explanations on why you possess the qualities we seek in a graphic design firm. An overview of your typical fees for designing a website or other design materials. The organization reserves the right to request supplemental information from responsive vendors identified as semi-finalists. All materials submitted become property of our company and will not be returned.
